Sky Lantern Festival 2026 participation terms
The terms for taking part in Sky Lantern Festival 2026, held on Sunday 11 October 2026, 16:30–19:00 (JST).
Version (last updated): 2026-08-20
1. Scope
These terms apply to everyone who registers for Sky Lantern Festival 2026, organised by Sabai Mind (certified NPO, Japan).
2. Registration and confirmation
A booking is confirmed once payment completes within 24 hours of registering. Bookings that miss that deadline are cancelled automatically.
When capacity is reached — 300 participants and 100 lanterns — we keep a waiting list for participant places only. When your turn comes, payment is due within 48 hours.
3. Name changes
Participant names can be changed free of charge until 7 October 2026, 23:59 JST. Email [email protected] with your booking number.
After that deadline, names cannot be changed. On the day, the new participant must be the one holding the QR code.
4. Check-in on the day
Check-in happens per booking. Everyone in a booking must arrive together before it can be checked in; we cannot check in part of a group early.
Check-in requires the QR code sent to you after registration, either on a phone screen or printed. Please do not share your QR code with anyone else.
5. Rules at the venue
A safe light source with no open flame. No combustion or fire risk from the lanterns. Every lantern is secured by a control line. Staff monitor safety at each point.
- Please follow the staff's instructions — they are there for safety.
- Naked flames and dangerous items may not be brought in.
- Children must be accompanied and supervised by an adult at all times.
- If instructions are not followed we may ask you to leave for everyone's safety, and no refund is given in that case.
- The venue: An open-air venue, where every lantern rises into the night sky at once.
- In rain or strong wind the format may change, for safety.

- Food allergies
- Please check ingredients and allergen information and decide for yourself whether to consume food provided at the venue. Complete allergen removal and prevention of unintended cross-contact cannot be guaranteed. Guests with severe allergies should refrain from eating or contact each vendor in advance.
- Pets
- Pets are welcome. They must remain on a leash or in a cage or pet stroller. Please supervise them at all times and take responsibility for appropriate care, including waste disposal.
- Smoke-free venue
- All smoking is prohibited, including cigarettes, e-cigarettes, and heated tobacco products.
- Alcohol
- Alcohol will not be sold at the venue, and bringing alcohol into the venue is prohibited.
- Bringing food and drinks
- Outside food and drinks are limited to drinking water, meals for infants, or items required for health reasons. Alcohol is strictly prohibited.
- Wheelchairs and accessible toilets
- Please bring your own wheelchair, as none are available to borrow. The venue does not have a wheelchair-accessible or barrier-free toilet.
6. Photography and video
At the venue, the organiser and photographers working for the organiser take photographs and video, and may use them for records, reporting and future promotion — website, print and social media.
Agreeing to photography is optional. You can register and attend without agreeing, and we do not use images of anyone who did not agree. If something is published and you spot yourself, email [email protected] and we take it down promptly.
7. Handing over lanterns and food
Lanterns and food are collected separately. Each type is handed over in the full quantity you booked, in one go; we cannot hand over part of a type.
8. Cancellation and changes
Severe weather, a disaster or another matter beyond our control may force us to cancel or change the event. For refunds when we cancel, see the cancellation and refund policy.
9. Liability
The organiser is not liable for accidents, loss or theft at the venue, except where caused by the organiser's own fault. A participant who damages another person or the venue's property is responsible for that damage.
10. Changes to these terms, and governing law
If we change these terms we raise the version number and publish it here. The version you accepted when you registered is the one that applies to your booking. These terms are governed by Japanese law.
