2. What we collect

  • The applicant's name and its phonetic reading (furigana)
  • Email address, phone number and prefecture
  • The name to put on the receipt
  • The names of accompanying adults
  • Booking details: number of people, lanterns, food tickets and the total
  • Payment status, and check-in status on the day
  • Which policies you accepted, at which version, and when

We never collect or store card numbers or security codes. Payment happens on the payment provider's own screen (Square).

3. What it is used for

  • Managing your booking and issuing your QR entry credential
  • Taking payment and issuing a receipt
  • Checking you in and handing over lanterns and food
  • Telling you things you need to know: the event going ahead, a cancellation, a time change, safety information
  • Sending a thank-you and a survey after the event
  • Accounting, and records we are required by law to keep
  • Attendance statistics in a form that identifies nobody

Beyond those, we do not disclose your data to third parties except where the law requires it or where it is necessary to protect someone's life or safety. We never sell or rent the participant list.

5. How long we keep it

Registration data is kept for five years after the event, then deleted or anonymised — except records that law or accounting obligations require us to keep for longer.

6. Your rights

To see, correct, restrict or delete your data, contact [email protected]. We verify who you are and then act as the law requires.

7. Cookies and analytics

This site uses Google Analytics and Google Ads tags to understand overall usage and measure advertising. They collect anonymous usage data through cookies. You can disable cookies in your browser, though some features may stop working.

8. Photography and video

Filming at the venue and the use of those images is covered by the “Photography and video” section of the participation terms.

9. Changes to this policy

If we change this policy we raise its version number and publish it here. The version you accepted when you registered is kept as your record.
